Acceptable Use Policy

What you may and may not do with PTToolBox.

This policy is part of the Terms of Service. It applies whenever you use PTToolBox. Breaking it can lead to your account being suspended or closed.

Client consent - the one that matters most

PTToolBoxholds health information about real people who are not your account holders. Before you enter a client’s data, you confirm that:

  • you have a lawful basis to process it, and for health data you hold the client’s explicit consent to your using a tool like PTToolBox to help coach them;
  • you have told the client, in substance, that their data is processed by a third-party tool on your behalf, and you have a privacy notice of your own that covers it;
  • you will stop processing a client’s data, and delete it, if they withdraw consent or ask you to.

You are the controller of that data and this responsibility is yours. It is the warranty relied on in clause 4 of the Data Processing Addendum.

Only enter data you are entitled to

Do not upload or enter personal data you have no right to process, data about people you do not coach, or anyone under 18. Do not enter more than you need to do your job.

Use AI output as a coach, not a clinician

PTToolBox produces suggestions for you to review. Do not present its output to a client as medical, clinical or diagnostic advice, and do not rely on it in place of your own professional judgement or a referral where one is warranted. What you send to a client is your decision and your responsibility.

Do not misuse the service

  • Do not share your account, or let anyone who is not you use it.
  • Do not try to access another coach’s data or any part of the system you are not authorised to.
  • Do not probe, scan or test the security of the service without our written permission, or disrupt it for others.
  • Do not scrape it, reverse engineer it, or use it to build a competing product.
  • Do not use it to send spam, or for anything unlawful, harassing, or that infringes someone else’s rights.
  • Do not use it to feed personal data into any other AI or third-party service in a way your clients have not agreed to.

If you break this policy

We may suspend or close an account that breaks these rules, and where the law requires it we may have to report certain conduct. Where it is safe and lawful to, we will tell you first and give you a chance to put it right.
